If you’re using a Notion template but it doesn’t quite align with how you work, you’re not alone. The real power of Notion lies in its flexibility—and with a few simple tweaks, you can transform any template into a system that fits your personal or professional workflow perfectly.

1. Modify Database Properties

Every Notion template starts with assumptions—but your needs are unique. Begin by adjusting the database properties:

Add fields like Priority, Estimated Time, or Category.

Remove irrelevant properties to reduce clutter.

Change property types (e.g., convert text fields to select menus for better consistency).

2. Adjust Views for Better Visualization

Each template includes default views, but you can modify or create new ones:

Use Table View for data analysis.

Switch to Board View for task stages (e.g., To Do, Doing, Done).

Create a Calendar View for time-sensitive workflows like content publishing or event planning.

3. Use Filters and Sorts to Focus

Filters help you display only the most relevant tasks or content. Sorts help you organize them by importance or due date.

Example: Show only tasks due this week or with a high priority.

Sort by Deadline or Status to prioritize efficiently.

4. Add Relations and Rollups

Connect databases to one another using Relations and Rollups:

Link a task to a project or a contact to a company.

Roll up deadlines, status, or budgets for high-level tracking.

5. Don’t Forget to Save as a New Template

Once your template reflects your workflow, you can duplicate it or save it as a new template for repeated use—especially useful for recurring projects.

Final Tip: Iterate Over Time

No template is perfect from the start. Use it for a week, identify friction points, and continue to refine it. That’s the beauty of Notion—you’re never locked in.
